JCU Email

This document is only meant to be a general guide to accessing your JCU email.

There are now 3 email services at JCU:

  1. Office 365 mail and calendar service provisioned to current JCU staff. Email login credentials = firstname.surname@jcu.edu.au

  2. LIVE@EDU mail and collaboration services provisioned to current students. Email login credentials=firstname.surname@my.jcu.edu.au. This account will be available to students during their studies at JCU and continue after their studies have been completed

  3. LIVE@EDU mail and collaboration services provisioned to current JCU staff as a PERSONAL account i.e. not to be used for University business. Email login credentials=firstname.surname@my.jcu.edu.au. This account will be available to JCU staff while they are current members of staff and continue after their employment at JCU ends.

Office 365 staff accounts.

This account is hosted on Microsoft’s Office 365 service. Each staff member has a 25GB mail box quota. Incoming email and outgoing mail from the mailbox is automatically Archived.

Staff can use one of the supported email clients to access this account. Currently the supported clients are Outlook 2007 & 2010 (for PC) and Outlook 2011 (for Mac). If you wish to use an email client please contact the IT Help Desk (dialling 15500 then choose Option 1, email ithelpdesk@jcu.edu.au or via the Self Service Portal) and log a service request to your IT Support team.

Staff can also use a Web browser and access their email via Outlook Web Access.

Logging into Outlook Web Access

  1. Open your Web Browser

  2. In the address/location field enter http://staff.jcu.edu.au/

  3. Enter your JCU email address (firstname.surname@jcu.edu.au) and password. Click the Sign In button

  4. The first time you use Office 365 mail, the first window to open will be where you choose your language and Time Zone. Take the time to make sure that you have selected the correct settings (Queensland users choose UTC +10:00 Brisbane).

Student LIVE@EDU mail and collaboration account

This account is hosted on the Microsoft LIVE@EDU environment. Each student has a 10GB mailbox quota. Additionally each student has 7GB of cloud based storage - called SkyDrive, access to a collaborative calendar and Web Based Office applications (Word, Excel, PowerPoint and OneNote).

Logging into LIVE@EDU

  1. Open your Web Browser (or select the WebMail link on the JCU Home page and my.jcu.edu.au from the Student Email section).

  2. In the address/location field enter http://my.jcu.edu.au/

  3. Enter your JCU email address (firstname.surname@my.jcu.edu.au) and password. Click the Sign in button.

NB. The Outlook Web App in LIVE@EDU supports all features using many Web Browsers, including Internet Explorer, Firefox, Safari and Google Chrome. Google Chrome on Linux does not support all features.

Mail

Once you have successfully logged in, your LIVE@EDU mail will open at your Email window with Email folders displayed on the left hand side of the Window and Email Messages on the right hand side of the Window.

Calendar

Select the Calendar button under the list of Email Folders. Double-click anywhere within a date to make an entry. You can invite others to attend a calendar event by typing their email address under Select Attendees (or use your contact list to select) in the Scheduling Assistant tab. Then click Save and Close to send them an email invitation.

More Calendars

You can have more than one calendar, e.g. one for Study, one for Personal Appointment etc. You can choose to share one or more of your calendars. To create a new calendar, select the Calendar button, right click on My Calendar and choose Create New Calendar. To share a calendar, right click on the calendar and choose Share > Share This Calendar option. Enter the email address of people with whom you wish to share your calendar(s).

Contacts

Select the Contacts button under the list of email folders. Click on the New option to create a new Contact or new Distribution Group. Enter the appropriate email details for the contact. You can also right-click on an email message and add the sender to your contacts.

Settings

Click Options (top right hand corner of the mail window). Choose See all Options ... from the drop-down menu. Once you’ve made any changes to settings make sure that you Save before closing the window.

Click Mail:

There are many options here - use the scroll bar to see all of the options. Click in the space under the Formatting toolbars to add a mail signature; Change your message format; Set alert preferences etc. When you’re finished, click Save.

Click Regional:

The options in this setting area allow you to choose your Time Zones and Language type. You can also change the date and time format in this area.

Click General for more settings, including Accessibility.

Click Calendar to setup your calendar view and notifications.

Click Spelling to choose personal preferences.

To go back to your email click the My Mail link in the top right-hand corner.

SkyDrive

You have 7GB to save/store documents, photos etc. You can keep this information private or share with friends/collaborators.

At the top of your my.jcu.edu.au email window click on the More link, from the drop-down menu select SkyDrive.

  • You can add files to the SkyDrive by selecting the Add Files option or create a new folder.

  • You can use the Browse button to find files on your computer and then click Upload to move the selected file(s) into your SkyDrive. A message appears when the file(s) have been successfully added to your SkyDrive space. Once the files are in your SkyDrive storage space you can access them from any internet connected device. If you want to share the files or folder of files right-click; Click on the file/folder, click Share and then choose the Edit permissions.

Once you’ve configured your files and folders with the necessary permissions, click on Save.

Office

Your LIVE@EDU account comes with a Web version of Microsoft Office that you can use to create documents online. You can save these documents to your SkyDrive and choose whether or not you wish to share them.

At the top of your “my.jcu.edu.au” email window click on the Office link, from the drop-down menu select New (Word, Excel, PowerPoint, OneNote) you will be asked to give the document a name then click Create to save it to your SkyDrive.

Once you have clicked on Create, a new window will open where you can begin creating your document. When you click on the Save icon (top left corner) the document will save to your SkyDrive. If you have the full version of the Microsoft Application you can also launch this from the Web Application window to edit the document in.

Staff LIVE@ personal mail and collaboration account
